Building Security Services

Building Security Services provides keys and building card access to Iowa State faculty, staff, and students, and manages surveillance cameras for general university buildings. The unit's work supports the university policy to ensure buildings are locked outside of normal working hours to maximize security of the buildings, occupants, and building contents.

Keys and locks

Keys are the property of Iowa State University and only issued to authorized key holders through key requests.

Key Pickups

  • Key requests are typically available by noon the following business day. Pick up your key request form from your department coordinator and take it with you to Building Security Services.
  • Key pickup is at Building Security Services. Keys must be picked up within 30 days unless other arrangements have been made with Building Security Services. After the 30 days, you will be charged a $25 fee per order and the key request is canceled.

Key Returns

  • A fee of $30 per key is assessed for unreturned keys.
  • Return keys to Building Security Services to receive a receipt.

As part of a required audit, Building Security Services emails all key holders each January with instructions to verify the keys in their possession.

Reporting lost or stolen keys

  • A fee of $30 per key is assessed for lost or stolen keys, whether or not the keys need to be replaced.

Electronic Key Management System 

Iowa State University Department of Public Safety (DPS) utilizes TRAKA as the approved key management system.  DPS is the sole authorized entity to purchase, manage, and regulate the electronic key management boxes.   

The electronic key management box, provides an auditable system that can track key issuance while mitigating potential financial risk of loosing multiple keys.  The electronic key management box shall be located at a secured location within the building.  The evaluation shall be in partnership with the customer will acknowledging best practices. 

Traka boxes can range from 20 key rings to 500+ key rings.  They system is modular and can be adapted to many use case scenarios. Access control lockers can be utilized as well for access control to physical assets.   

The customer will be responsible for the following: 

  • Purchasing of the electronic key management cabinet and/or lockers through DPS
  • Providing an account for monthly service fee for electronic key management components, this includes the server and component license fees.
  • Providing an account for biannual audits of the electronic key management cabinet by DPS
  • Fees associated with initial setup including staff time and materials.  DPS can provide estimates upon request
  • Proving a work order with customers account for the entry and removal of staff members
  • Providing a dedicated data jack and 110V power

The Department of Public Safety will be responsible for the following: 

  • Scheduling and Auditing electronic key management cabinets on a biannual basis
  • Perform service work and/or coordinating contractors to make appropriate repairs
  • Add, remove, and modify users within three business days from date of work order entry
  • Add, remove, and modify key rings as required by request of customer through work order entry 

DPS is able to provide quotes upon request through the work order process. 

  • Cabinets start at $9000.
  • Monthly Service charge is $65.50 as of 7/1/2025
  • Biannual audits are billed as actual time utilized, this is to account for larger and smaller utilizations of the system. 

DPS will help specify the correct cabinet for the department in consultation with the department’s current needs and in alignment with best practices.  Once the cabinet is purchased, the department shall retain the right to utilize the cabinet unless a safety, security, or university policy is observed.  The Department of Public Safety will take possession of the cabinet if it is not being utilized for potential reissuance.

Electronic key management boxes are currently not for utilization with unaffiliated individuals. Please contact Building Security Services / Key Management for a review of individual circumstances. 

Access cards

Access cards are dual-technology ISU Cards issued by the ISU Card office. Employees with ISU cards issued prior to May 25, 2009, or individuals who need temporary access are issued a white access card.

  • Wait 60 seconds for the card reader to reset and try again.
  • If you still do not have access, contact your department coordinator to have the card reconfigured.

Surveillance Cameras


Building Security Services provides management of video services for over 900 network-based cameras throughout campus.

Camera access

Departments may request access to cameras for a monthly per-camera fee. Access options include browsing, exporting, and live feeds.
